Hiver AI Trust & Security Commitment
At Hiver, trust is the foundation of every product we build and every relationship we nurture with our customers. As we integrate Generative AI into our platform, we understand that customers want confidence that their data is secure, private, and never misused. This document outlines our approach to AI governance, data protection, and ethical implementation so that you, our customer, can continue using Hiver with confidence.
1. Security and privacy at the core
Data security
Hiver applies the same enterprise-grade security practices to AI features as to all core Hiver services. Customer data is encrypted both in transit and at rest, and we maintain rigorous access controls, audit logging, and monitoring to protect against unauthorized use.
Regulatory compliance
Our AI implementation aligns with leading data protection standards, such as GDPR, HIPAA (wherever applicable) and other privacy laws. For more about these safeguards, visit our Security page. We maintain a “privacy-by-design” philosophy, ensuring that AI functionality is built with security safeguards from the ground up.
2. Customer data is not used to train AI models
We recognize that customer trust depends on knowing their data is not used in ways they cannot control. Specifically:
- No customer-identifiable data is used to train AI models, and Hiver does not share or sell its customer data with any of its AI partners.
- Our AI partners and vendors are contractually prohibited from using Hiver customer data to train or improve their general models. They also do not save your data for any other purposes.
- Only anonymized, non-identifiable signals may be used internally to enhance product performance, and even this is controlled, monitored, and disclosed.

3. Machine-readable data, not human review
When data passes through AI systems in Hiver:
- Customer data is transformed into token vectors for processing, which are only machine-readable.
- Hiver employees or third-party providers do not manually review or access customer data processed by AI.
- AI-generated outputs are derived exclusively from these machine-readable formats, not from human inspection of your underlying data.
This ensures that your sensitive information remains inaccessible to humans while enabling AI features to provide valuable insights and productivity benefits.
4. Responsible AI principles
Four key principles guide Hiver’s AI implementation:
- Transparency – We openly share how we use AI and what it means for your data.
- Control – You are always in the driver’s seat. Admins can toggle AI features for the whole workspace or specific teams. Customers retain ownership of their data and have choices to disable AI features at their will. If you don’t want AI involved in certain workflows, simply switch it off, as per the controls detailed in our Terms of Service.
- Security – Enterprise-grade safeguards are always in place.
- Accountability – Our Security and Legal teams regularly audit AI usage to ensure compliance and responsible application.
5. Zero data retention
Hiver is committed to ensuring that your data remains private and never lingers beyond its intended purpose. To achieve this, we follow a zero data retention approach when working with large language models (LLMs).
Hiver’s services rely on LLMs in two controlled ways:
- Models hosted in Hiver’s secure cloud environments – Many of our AI features run on LLMs hosted within Hiver-managed environments, using trusted providers such as AWS, Microsoft Azure, or Google Cloud Platform. In these cases, your Service Data is processed entirely within infrastructure controlled by Hiver. The cloud provider hosting the model cannot access your information and is not classified as a sub-processor.
- Direct API calls with Ephemeral Processing – For certain features, Hiver uses direct API integrations of LLMs that guarantee ephemeral, in-memory processing only. Here’s what that means:
- The content of your request exists only long enough to generate a response.
- Neither the request nor the response is written to logs or persistent storage.
- Once the output is returned, the LLM provider retains no trace of your data.
In short, your Service Data is never stored by third-party AI vendors, never reused for training purposes, and never retained beyond the immediate request.
6. AI is smart, but not infallible
Our AI features can be incredibly helpful, but may not be perfect.
- AI responses are based on patterns and probabilities. They may sometimes be wrong, incomplete, or reflect biases. You are responsible for how you choose to use AI outputs.
- Never use AI to create or share unlawful, harmful, misleading, or infringing content, as outlined in our Terms of Service.
7. We will keep you in the loop
If we significantly change how our AI works or how we use your data, we will give you a heads-up in accordance with our main Terms of Service.

Trust is not a one-time promise. It is a continuous commitment. Our Security and Legal teams regularly review AI implementations, vendor relationships, and compliance measures to ensure Hiver’s AI features remain responsible, secure, and trustworthy.

Does Hiver use my data to train its AI models?
No. Hiver does not use customer data containing personally identifiable information (PII) or business-sensitive information to train general-purpose models.
Who owns the data processed by AI in Hiver?
You do. Customers retain full ownership of their data. Hiver acts only as a custodian and processor to deliver services.
Can Hiver employees see my data when AI features are enabled?
No. AI features convert your data into machine-readable tokens for processing. Humans at Hiver or its AI partners cannot access this underlying data.
Where is my data stored and processed?
Data is encrypted and stored in secure, compliant data centers. Processing locations adhere to regional data residency and legal requirements.
What third-party AI providers does Hiver use?
Hiver partners only with vetted AI vendors who meet strict security and privacy standards. Contracts prohibit these vendors from training models on Hiver customer data.
Can I opt out of AI features?
Yes. Customers have control over whether AI features are enabled within their Hiver accounts.
How does Hiver ensure compliance with global regulations?
We design AI systems considering GDPR, CCPA, HIPAA, and other privacy frameworks. All partners have data processing agreements and audit mechanisms in place.
